Do I need to create an account?

No! You can start collecting stamps immediately without registering. However, creating an account allows you to sync your progress across devices and prevents loss of your stamps if you clear your browser data.

What are Coffee Beans?

Coffee Beans are our global loyalty points. You earn 10 beans every time you complete a stamp card at any participating café. They track your overall coffee journey and determine your level (Coffee Newbie, Explorer, Enthusiast, Aficionado, or Connoisseur).

Can I use BaristaCard at multiple cafés?

Yes! Each participating café has its own stamp card with its own loyalty deal. You can collect stamps at multiple cafés simultaneously, and all your Coffee Beans accumulate in one place.

How do I redeem my free coffee?

Once you've collected the required number of stamps, your reward is automatically activated. Just show your reward QR code to the barista and they'll scan it. Your free coffee is on the way, and a new stamp card starts immediately!

Can I add my loyalty card to my phone's wallet?

Yes! On your deal page you'll see an "Add to Apple Wallet" or "Add to Google Wallet" button. One tap and the card is saved to your phone's wallet. It shows up on your lock screen and updates automatically with your latest stamp count and Coffee Beans balance. It's optional—the system works fine in the browser too.

What happens if I lose my phone?

If you've registered an account (via Google or Facebook), your stamps and beans are safely stored on our servers. Just sign in on your new device and all your progress will be there. If you haven't registered, your progress is stored locally and may be lost.

What are broadcasts? Can I reply to them?

Broadcasts are messages sent by café owners to all their customers—like announcements about new menu items, special offers, or holiday hours. You'll receive them as notifications. Yes, you can reply! Your reply starts a private conversation with the café owner. You can also mute broadcasts from any café if you'd rather not receive them.

What are scratch cards?

Scratch cards are a fun bonus you can win after each stamp! When a barista scans your QR code, you may receive a scratch card to reveal a surprise reward—bonus Coffee Beans, a free drink, or other perks. Keep a streak of visits going to unlock even better scratch card prizes.

What are subscription deals?

Some cafés offer subscription memberships—like a daily coffee plan or a monthly bundle at a fixed price. Once you subscribe, just show your QR code at each visit and the barista verifies your active subscription. No stamps needed, just unlimited coffee as part of your plan.

How much does BaristaCard cost?

Your first venue is free forever—not a trial, no credit card required. BaristaCard offers four tiers:

  • Free: 1 venue with all core features—stamp cards, subscription deals, scratch cards, deal types, multi-currency pricing, Apple/Google Wallet, analytics, finance dashboard, digital tipping, and 1 broadcast per week with customer chat.
  • Basic (£9/month): Up to 5 venues with everything in Free plus 3 broadcasts per week per venue, multi-location analytics, and email support.
  • Premium (£29/month): Up to 10 venues with everything in Basic plus 2 broadcasts per day per venue, advanced reporting, and priority support.
  • Enterprise: Unlimited venues with unlimited broadcasts and dedicated support. Contact sales for pricing.
Do I need special equipment?

No special equipment needed—just a phone with a camera. When a customer makes a purchase, they show their personal QR code on their phone screen. Your barista scans it with their phone's default camera app, which opens a link that instantly awards the stamp. No scanner hardware, no extra app for staff, no tablet required.

Do baristas need to log in every time they scan?

No. Baristas just point their phone camera at the customer's QR code—it opens a link that awards the stamp. There's no app to log into and no session to maintain. Any staff member can scan any customer. If you want to track which barista scanned whom, you can optionally invite staff to the dashboard, but it's not required for day-to-day scanning.

Is the free plan really free forever?

Yes—it's not a trial. Your first venue is free permanently with all features: stamp cards, subscription deals, scratch cards, deal types, Apple/Google Wallet, analytics, staff management, notifications, and digital tipping. We make money when you grow to multiple locations. The Basic plan (£9/month) supports up to 5 venues, and Premium (£29/month) supports up to 10. If you only run one café, you'll never pay anything.

Does BaristaCard work in my country and language?

BaristaCard works anywhere with internet access. You can set your venue's currency to GBP, EUR, USD, and 40+ other currencies. The interface currently supports English and Ukrainian, with more languages coming soon. Your deal names, descriptions, and rewards are fully customizable in any language you choose.

Can I customize my loyalty deal?

Yes! Choose between stamp cards (e.g., buy 5 get 1 free) or subscription plans (weekly, monthly, or yearly memberships). Organize deals with deal types—coffee, food, desserts—each with its own emoji and color. Set prices in your local currency, enable scratch cards for gamified rewards, and change deals anytime. We also have pre-built templates for both stamp and subscription deals.

How do broadcasts work? How many can I send?

Broadcasts let you send rich-text announcements to all your customers at once—new menu items, holiday hours, special offers, anything. Customers receive a notification and can reply directly, starting a private conversation thread. You manage all replies in a messenger-style inbox on your dashboard.

Broadcast limits by plan:

  • Free: 1 broadcast per week
  • Basic: 3 broadcasts per week per venue
  • Premium: 2 broadcasts per day per venue
  • Enterprise: Unlimited
Can I manage multiple café locations?

Absolutely! You can add multiple venues to your account, each with its own QR codes and loyalty deals. All venues are managed from a single dashboard.

How do I prevent fraud or abuse?

BaristaCard includes built-in fraud prevention. The system tracks all scans server-side, prevents duplicate scans, and requires barista verification for each stamp. Rewards can only be redeemed once, and the system automatically starts a new card after redemption. For subscription deals, the barista's scan verifies the subscription is active and not expired before confirming.

Can I see analytics about my customers?

Yes! Your owner dashboard shows engagement metrics including total stamps awarded, rewards redeemed, and customer visit patterns. The Finance Dashboard tracks subscription revenue, tip earnings, pending payouts, and transaction history—all in real time.

What are deal types?

Deal types let you categorize your loyalty deals—coffee, food, drinks, desserts, and more. Each type comes with its own emoji and branding, so customers can instantly see what kind of deal they're collecting stamps for. You can choose from preset categories or create custom ones.

How do subscription deals work for my cafe?

Subscription deals let you offer recurring memberships—like a daily coffee plan at a fixed monthly price. You set the subscription name, price, currency, and billing period. Customers subscribe through your venue page and show their QR code each visit. Your baristas verify the active subscription with a quick scan. It's predictable recurring revenue with zero per-visit friction.

Can I accept payments in different currencies?

Yes! BaristaCard supports multiple currencies including GBP, EUR, USD, CAD, AUD, and more. Set prices for your subscription deals and tipping in your local currency. Customers see prices in the currency you choose—no conversion confusion.

How do payouts work?

All revenue from subscription deals and tips is tracked in your Finance Dashboard. You can see real-time revenue metrics, pending payouts, and transaction history. Payouts are sent directly to your bank account on a regular schedule. Add your bank details in Settings and you're all set—no manual invoicing required.

How does digital tipping work?

Digital tipping is available on all tiers. After every loyalty scan, customers are prompted to leave a tip for your staff member. Tips are processed through Stripe Connect and automatically paid out to your staff weekly.

Pricing structure:

  • Customers pay tip amount + Stripe processing fees (2.9% + $0.30)
  • 100% of the tip amount goes to staff
  • Automated weekly payouts via direct deposit or instant debit card payout
  • Real-time tip tracking for both staff and owners
  • Customers can tip via Apple Pay, Google Pay, or saved cards

BaristaCard doesn't take a percentage cut of tips—we charge a transparent subscription fee instead.

Promotions & Special Offers

What are promotions?

Promotions are special offers you create to reward your most loyal customers. Unlike stamp card rewards (which everyone earns by completing a card), promotions target specific customer segments based on criteria you set—like how many Coffee Beans they've earned, their loyalty level, or how many stamp cycles they've completed. Customers who qualify see the offer automatically on their deal page.

How do I create a promotion?

Go to your cafe's page in the owner portal and click "Promotions" in the menu. Click "+ New Promotion" and fill in the details. You can start from scratch or use one of our built-in templates—Loyalty Milestone, VIP Exclusive, Win-Back, Birthday Treat, or New Member—which pre-fill sensible defaults. Set your eligibility criteria, optional date range, and redemption limits, then save as a draft or activate immediately.

What are the eligibility criteria?

You can combine any of these conditions (all must be met): minimum Coffee Beans balance, maximum Coffee Beans balance (useful for targeting lapsed customers), minimum loyalty level, minimum completed stamp cycles, and activity recency (customer must have visited within a set number of days). Leave a field empty to skip that condition. For example, setting only "Min Level: 3" targets all Level 3+ customers regardless of their beans or cycles.

How do customers find out about promotions?

Eligible customers see a "Special Offers for You" section on your venue's deal page with their qualifying promotions. The system also sends a push notification the first time a customer becomes eligible—for example, when a scan pushes their beans past your minimum threshold. Each customer is only notified once per promotion, so they won't be spammed.

What are redemption limits?

You can set two types of limits: a total redemption cap (e.g., "first 50 customers only") and a per-customer limit (e.g., "once per customer" or "up to 3 times"). You can also add an optional redemption code that customers need to show the barista. When all limits are reached or the end date passes, the promotion stops appearing for new customers.

What do the promotion templates do?

Templates give you a quick starting point—they pre-fill the form with sensible eligibility criteria for common scenarios:

  • Loyalty Milestone — Rewards customers who've completed 5+ stamp cycles and been active in the last 60 days
  • VIP Exclusive — Targets Level 3+ customers with 100+ beans, active in the last 30 days
  • Win-Back — Re-engages lapsed customers who have 10-50 beans (visited before but dropped off)
  • Birthday Treat — Low barrier, just requires activity in the last 90 days
  • New Member — Welcomes newcomers with 0-30 beans, allows up to 3 redemptions
